Executive Administrative Assistant

We are seeking a full-time Executive Administrative Assistant to work with our Attorneys. Your primary role will be to provide general support for these Attorneys so that they can function to the best of their abilities. To be successful as an Executive Assistant, you should be professional, polite, and accurate while also being proactive. You should always be flexible, prepared and responsive, willing to meet each challenge directly. Executive Assistants must be comfortable with high volume scheduling, general office tasks, providing assistance with various professional and personal tasks and excel at both verbal and written communication. This is an on-site position in the Chicago loop. Most importantly, Executive Assistants should approach their role with the goal of supporting others to achieve the Firm’s mission.

Duties and Responsibilities

  • Manage multiple schedules for Partners, including but not limited to coordinating client meetings and prospective client intake and resolving scheduling conflicts before they occur.
  • Perform expert-level clerical and administrative tasks for review and presentation, including memos, client pitch decks, reports, and other documents.
  • Flexibility to work on various personal errands such as shopping, making personal travel arrangements, household management activities, personal projects, and making appointments.
  • Drafting of detailed-oriented legal documents, notices, etc. and knowledge around how to file court documents via ECF for Federal, State and Appellate Courts.
  • Assist with document work including redlines, PDF to Word conversion, and formatting requests.
  • Scan, photocopy and file documents in the document management system as needed.
  • Help prepare for meetings.
  • Greet clients and visitors in a polite and professional manner.
  • Accurately record minutes from meetings and follow up on action items as needed.
  • Arrange travel and accommodations for executives such as booking flights, cars, making hotel and restaurant reservations, and submitting reimbursements.
  • Support in planning and coordinating Firm events and activities.
  • Assist with special projects as assigned.

Required Skills and Abilities

  • In-depth understanding of entire MS Office suite, and ability to learn new or updated software.
  • Ability to organize and prioritize a daily workload.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Understanding of the court filing system.
  • Must thrive in a fast-paced quickly changing environment.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Excellent organizational skills and attention to detail.
  • Professional level verbal and written communications skills.
  • Ability to handle personal, sensitive and confidential information with a high level of discretion.

Education and Experience

  • Preferred bachelor’s degree or relevant work experience.
  • Proven experience as an executive assistant or other relevant administrative support experience.
  • Experience working at a law firm is a plus.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.

Location: Chicago

Job Type: Full-time

Pay: $60,000 – $80,000 based on experience level
