Client Intake & Billing Specialist
We are seeking a detail-oriented and service-minded professional to join our team as a Client Intake & Billing Specialist. You will work closely with attorneys and our finance and operations teams, with primary responsibility for client intake, conflicts checks, and engagement letters, alongside monthly billing and special projects as needed. You will have the opportunity to be part of a fast-paced and growing firm.
Primary Responsibilities
- Issue invoices to billing attorneys for initial review on a monthly basis or as needed.
- Follow and reinforce processes for timely and accurate client billing within proper authorization protocols, and, with guidance from billing attorneys, amend and finalize invoices for distribution.
- Support attorneys with their billing and collection cycles.
- Serve as the primary point of contact for new client intake, collecting required information and conducting conflict checks using our approved systems, and guiding attorneys through the process from initial request to completion.
- Draft and finalize client engagement letters, coordinating with attorneys to ensure timely execution.
- Communicate with colleagues and clients in a positive and professional manner at all times.
- Contribute to project-based work, including ancillary finance and operational needs.
Competencies
- 2-3 years of experience with client intake, conflicts, and billing processes and systems in a law firm or professional services environment.
- Demonstrated ability to deliver excellent work product in a demanding, fast-paced, and time-sensitive environment.
- Ability to multi-task with attention to detail.
- Excellent written and verbal communication skills, strong numerical aptitude, and a collaborative, team-oriented approach.
- Intermediate-level experience with Microsoft Office programs, conflicts databases, and billing systems.
- Experience with client e-billing platforms of various types is preferred.

Compensation
$60,000-$80,000 (salaried, non-exempt), depending on experience.
